Executive Assistant

Summary

The incumbent will play a key role in helping a business run smoothly. Company Executives are stretched in many directions and need someone behind the scenes who can keep everything in order, taking on many tasks, from administrative to private. The successful applicant will be serving as the primary point of contact internally and externally on all matters pertaining to the CEO, not limited to serving as a liaison to the Shareholders, Board Members and senior managerial or directorial staff. The incumbent needs to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters and information with discretion.

Minimum Requirements:

  • 1 Year Secretarial Diploma/ Business Administration Diploma)
  • 5 years Executive Assistant supporting C-Suite executives (Ideally in the financial services sector)
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaboration tools.
  • Communication (Written and Verbal) in English (Business writing and email etiquette)
  • Attention to detail
  • Problem solving & Critical thinking
  • Technological proficiency
  • Judgement and Decision Making
  • Working under pressure And Deadline driven
  • Organizational skills / Planning and prioritizing
  • Good Interpersonal skills

Key Performance Indicators:

  • Time Management Efficiency: Measuring how well employee organizes and prioritizes the executive's time.
  • Accuracy of Scheduling and Calendar Management: Number of scheduling conflicts or errors, and effectiveness in managing the executive's calendar.
  • Meeting Preparation Quality: The thoroughness and quality of meeting materials, including agendas, reports, and presentations.
  • Travel and Expense Management: Efficiency and accuracy in managing the executive's travel bookings and expenses.
  • Cross-Functional Collaboration: Effectiveness in collaborating with other departments or stakeholders, facilitating smooth operations.
  • Confidentiality and Discretion: Maintaining confidentiality of sensitive information.
