Commercial Assistant
The Role in Brief:
- The efficient handling of sales orders to ensure timeous manufacturing and delivery or orders
- Retaining customer satisfaction and promoting the company and its products
- This position reports to the Commercial Manager.
Minimum Requirements:
- Post Matric qualification, with preference for sales orientated qualification
- Metallurgical knowledge in stainless steel will be beneficial
- Ability to read and write in English
- Experience in working and responding to common enquiries or complaints from customers, stake holders and regulatory agencies
- Ability to work with mathematical concepts such as probability and statistical principles, and fundamentals of plane and solid geometry and trigonometry
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
- The incumbent should have knowledge of: Accounting software, ERP software, and the Microsoft office suite (the ability to work and understand Microsoft excel is critical)
- The individual must espouse the following values; Excellent Interpersonal skills, dedication to accuracy and respect for other staff members
- Presentation skills are key to the success of the incumbent.
Key Performance Areas:
- Responsible for assisting customers and potential customers with enquiries related to sales and quotations. Where needs be, customers must be advised on cost-saving opportunities that will act as market development and secure customers.
- Responsible for the processing of Sales Orders within the ERP system.
- Communicate with production and planning departments to ensure products are manufactured in accordance with the Sales Order timeously.
- Correspond with customers on the status and progress of the Sales Order. Inform the customer when the Sales Order is ready for collection.
- Ensure releases (forecast orders) is received weekly or monthly from the customers and communicate any changes with the production and planning departments. Fluctuations in the promised date as a result of the customer changes needs to be addressed.
- Responsible for creating and issuing picking slips within the ERP system.
- Process Sales Invoices based on Delivery Notes and, accordingly, submit them to the financial department.
- In terms of C.O.D. Customers, create and send a pro-forma invoice to the customer and follow through on deposits and final payment.
- Responsible for costing and sending quotations to the customers, with approval from the Commercial Manager. Understanding and maintaining cost models is essential.
- Update Sales Price Lists regularly and keep the customers updated monthly.
- Filing requirements.
- Supporting and assisting the Line Manager in his daily duties and responsibilities.
- Regular traveling and visiting Customers in the domestic market.
