Sales Operations Coordinator

JOB PURPOSE

The Sales Operations Coordinator is responsible for providing administrative and operational support to the Sales team to ensure efficient sales processes, accurate order management, and effective communication with customers and internal stakeholders. The role supports sales performance through accurate documentation, data integrity, and timely coordination


KEY RESPONSIBILITIES:

1. Sales Order Processing & Administration

  • Process all sales orders accurately and within agreed turnaround times.
  • Ensure all required systems and databases are fully and correctly updated for each sales order.
  • Create, maintain, and manage both electronic and hard-copy sales order files.
  • Perform ongoing maintenance of sales orders, including updates, corrections, and follow-ups.
  • Accurately calculate and apply Rates of Exchange (ROE) where applicable.

2. Sales Documentation & Customer Communication

  • Prepare and issue quotations in accordance with company pricing policies and approval processes.
  • Assist the sales team with tender documentation, submissions, and supporting schedules.
  • Compile complete and accurate sales folders and hand over to sales personnel for customer engagement and follow-up.
  • Manage the sales email inbox, ensuring timely responses, correct allocation, and professional communication.
  • Liaise with customers via email and telephone regarding sales enquiries, leasing arrangements, and order-related matters.

3. Sales Support & Coordination

  • Provide general administrative and operational support to the Sales team.
  • Act as a liaison between Sales and internal departments such as Finance, Logistics, and Operations.
  • Ensure accurate record-keeping and compliance with internal procedures and controls.
  • Support ad hoc sales-related tasks and projects as required by management.

4. Office & Inventory Support

  • Monitor and manage stationery and office supply levels, placing orders when required.
  • Maintain organised, up-to-date sales documentation and filing systems.


QUALIFICATIONS & EXPERIENCE:

  • NQF Level 6 qualification or equivalent.
  • Previous experience in sales administration, sales operations, or a similar role.
  • Experience in sales order processing, quotations, and database management.
  • Exposure to tenders, ROE calculations, or leasing processes will be advantageous.
